Overview: Poland is entering a new phase of modernization in immigration and consular procedures. Between November 2025 and January 2026, the government will roll out several key reforms under the amended Act on Foreigners and related regulations. These updates focus on digital transformation, simplified communication, and revised consular fee structures.
Key Changes
Full Digitalization of Residence Applications
Senate approval of the Act on Foreigners amendment (November 6, 2025) introduces the MOS system for online submission of residence permit applications.
Paper-based processes will be replaced by a streamlined electronic procedure, reducing in-person visits.
Temporary Suspension of inPOL Appointment Bookings (November 7, 2025)
The Mazowieckie Voivodeship Office in Warsaw has disabled in-person booking for residence applications as it transitions to the new system.
Applicants should now use MOS and prepare by setting up Profil Zaufany and e-Doręczenia accounts.
Increase in Consular Fees (Effective January 1, 2026)
Consular fees will rise across Polish embassies and consulates worldwide, affecting visas, passports, and document certifications.
Updated tariffs aim to reflect EU standards and operational costs while maintaining exemptions for vulnerable groups.
Important Notes
These combined changes signify Poland’s move toward a fully digital immigration ecosystem, improving transparency and accessibility.
Foreigners should proactively establish electronic identity tools and familiarize themselves with online systems such as MOS to ensure compliance and avoid disruptions.
Employers and relocation partners should update internal procedures to align with the upcoming digital requirements.
